Customer form (Patient)

Customer form decides which fields are required when creating or editing a customer (patient), and which fields get locked from further edits once a customer already exists. Every clinic needs to keep different information for different purposes (marketing, medical history, customer care (patient care)…), so this can be turned on/off to match each clinic's own needs — it applies right away to every customer in the system, with no code changes needed.

Opening Customer form (Patient)

  1. Go to the System configuration screen (see Configuration overview), group Customize Form, click Customer form.
  2. Faster way: type Customer form into the quick search box at the top of the System configuration screen, then click the result.

The Field name list covers every field that can appear on the customer form (Full name, Phone number, Customer group, Source, Pathology, Consultant…) — this is a fixed list the software already ships with; you cannot add a brand-new field on this screen. For each field, check one or more of the following:

ColumnMeaning (the exact "?" tooltip shown on screen)
1. Create"If you check any field below, it will be required when creating a new customer" — only required when creating a new customer.
2. Update"If you check any field below, it will be required when updating a customer" — only required when editing an existing customer.
3. Cannot update"If you check any field below, it cannot be updated when editing a customer" — the field is locked (cannot be edited) when editing an existing customer; it can still be filled in normally when creating one.

The 4. Reset button restores the whole table to the software's default list (asks for confirmation first). The 5. Save button applies the configuration immediately.

"Cannot update" automatically turns on and locks "Create"

Since a field that's locked can never be fixed later, it must be entered correctly right from creation — checking Cannot update automatically checks Create on the same row and locks it so it can't be unchecked.

A few fields are pre-locked and can't be changed

The Company field is always required for both Create and Update, and can never be locked under Cannot update — so all 3 checkboxes on that row are greyed out. This is a built-in system requirement (every customer must belong to a company), not a display bug.

Where this config takes effect

  • Applies directly on the Create Customer and Edit Customer forms in the CRM module — a checked field shows a required marker, and leaving it blank blocks saving.
  • A field checked under Cannot update appears greyed out (not editable) on the Edit Customer (Patient) screen — staff can still see the existing value, just not change it. Accounts belonging to the Board of Directors are exempt from this lock and can still edit it normally.
  • Applies system-wide — there's no separate configuration per branch or brand.
Sale/Marketing staff editing a customer don't see it match this config?

For lead-handling departments (Sale, Telesale, Customer Care (Patient Care), Marketing, Convert), the edit-customer (patient) screen may follow the separate rule set on the Lead form screen (same Customize Form group) instead of this page's rules — check there too if a field isn't required/locked the way you configured on Customer form.

  • Lead form — the rule set applied specifically for Sale/Telesale/Marketing/Customer Care (Patient Care)/Convert when creating/editing a customer (patient).
