Lead form

Lead form also decides which fields are required and which fields get locked on the customer form — the exact same mechanism as Customer form — but specifically for staff working prospective customers (leads): Sale, Telesale, Customer Care (Patient Care), Marketing, Convert. When these staff create or edit a customer, the software automatically applies this page's rules instead of Customer form's — no manual switch needed.

Same form, different rule set — not a separate screen

Lead form is not a separate customer (patient)-creation screen — it's still the exact same familiar Create/Edit Customer form. The software only picks which rule set (Customer (Patient) form or Lead form) to apply based on the acting staff member's department, to match the purpose of their work: front-desk/doctors etc. need full information right away (Customer form's rules), while Sale/Marketing usually only need a few minimum details to start nurturing — the customer is still deciding and hasn't agreed to anything yet (Lead form's rules).

Opening Lead form

  1. Go to the System configuration screen (see Configuration overview), group Customize Form, click Lead form.
  2. Faster way: type Lead form into the quick search box at the top of the System configuration screen, then click the result.

Lead form config table

The Field name list is identical to Customer form's (both are built from the same field catalogue the software ships with) — only how you check the boxes differs, since the two screens serve different purposes. For each field, check one or more of the following:

ColumnMeaning (the exact "?" tooltip shown on screen)
1. Create"If you check any field below, it will be required when creating a new customer" — only required when creating a new customer.
2. Update"If you check any field below, it will be required when updating a customer" — only required when editing an existing customer.
3. Cannot update"If you check any field below, it cannot be updated when editing a customer" — the field is locked (cannot be edited) when editing an existing customer; it can still be filled in normally when creating one.

The 4. Reset button restores the whole table to the software's default list (asks for confirmation first) — the exact same default list as Customer form, there is no separate "less strict" default reserved for Lead. The 5. Save button applies the configuration immediately.

Usually fewer required fields than Customer form — but that's your own choice

Since Lead form's purpose is quick data capture to start nurturing, without needing complete information yet (the customer is still deciding and hasn't agreed to use a service), most clinics check fewer required fields than on Customer form. This is entirely each clinic's own configuration choice — the software doesn't make Lead form "easier" by default.

The "Company" field is always pre-locked

Same as Customer form, the Company field is always required for both Create and Update, and can never be locked under Cannot update — all 3 checkboxes on that row are greyed out.

Where this config takes effect

  • Applies when staff belonging to the Sale, Telesale, Customer Care (Patient Care), Marketing, Convert departments create or edit a customer — the software automatically detects the department and applies the right rule set, no manual "which form" choice needed.
  • A checked field shows a required marker on the form, and leaving it blank blocks saving. A field checked under Cannot update appears greyed out when editing an existing customer; accounts belonging to the Board of Directors are exempt from this lock.
  • Applies system-wide — there's no separate configuration per branch or brand.
  • Customers (Patients) still in the nurturing stage, before they've agreed to anything, are managed on a separate Lead screen (Sale module), with a Convert button to formally turn them into a customer once they agree to use a service.
  • Customer form — the rule set applied for every other department (front desk, doctors…) when creating/editing a customer.
