Google Calendar Sync
Most doctors and clinic staff already check their personal schedule in Google Calendar on their phone. CluvixHealth puts the clinic's appointments straight into that calendar: each person connects their own Google account, picks which part of the schedule to follow, and then sees their working day anywhere — phone, watch or computer — without opening the software.
Everyone connects their own Google account
Connecting is self-service: you start the connection, Google shows its own confirmation page, and you sign in and approve it there. The clinic never needs your Google password, and you do not have to wait for anyone to grant you access first.
Once connected, the software only creates and updates the appointment events the clinic generates in your calendar. Connecting a Google account is a required first step — until it is connected, you cannot subscribe to any part of the schedule.
Pick exactly the part of the schedule you need
Not everyone needs the clinic's entire calendar. You create a sync subscription that matches your own job:
| Subscription type | Which appointments are synced |
|---|---|
| By assigned role | Appointments where you are the treating doctor or the consultant in charge |
| By site | Every appointment at one branch you have access to |
| By filter | Exactly the appointments you filter out, the same way you filter the appointment list |
Each subscription also sets a time window — how many days back and how many days ahead to follow — so your Google Calendar holds only the period you actually need instead of growing year after year. You also choose whether a cancelled appointment is marked as cancelled on Google or removed from the calendar entirely.
One person can keep several subscriptions at once: a doctor working across two sites can subscribe to both.
Privacy level: you decide how much Google sees
Every subscription has its own privacy level, which decides how much detail each event shows:
| Privacy level | What the Google event shows |
|---|---|
| Appointment code only | The code, the start — end time, and the site address |
| Short | Adds the appointment type, service, site name and a shortened customer name |
| Full | Adds the customer's full name and phone number |
Whichever level you pick, events sent to Google contain only the administrative details of the visit. Diagnoses, symptoms, vital signs, disease codes and internal notes always stay inside the customer (patient) record in the software.
What the Google Calendar event looks like
- Title: appointment code, customer name and service — one glance tells you which case and what is being done.
- Location: the address of the site where the appointment takes place.
- Time: the exact appointment time, with the length taken from the service duration; if a service has no duration set, the event runs for 30 minutes.
- The event colour follows the appointment status — waiting, arrived, checked out, cancelled — so scanning a whole week shows you immediately which cases still need attention.
- A reminder 30 minutes beforehand, delivered by Google.
- An "Open in Cluvix" link: one tap jumps straight to that appointment in the software to view the customer record or make changes.
How quickly the calendar updates
When an appointment is created, rescheduled or cancelled in the software, the Google calendars of everyone subscribed change to match within about a minute. Every night the software also re-checks the whole list, so your calendar stays complete even on the busiest days.
Reception never waits: saving the appointment is the end of the job — the work of pushing it to Google runs quietly in the background, so the screen is not slowed down at all.
CluvixHealth holds the master copy of the appointment — the customer record, the service, the person in charge and the money. So when a time changes or a visit is cancelled, make the change in the software; the Google calendars of everyone involved update themselves right afterwards, with nobody having to notify anyone.
What administrators control
Anyone with the General configuration permission manages syncing at clinic level: when a staff member leaves or moves to another department, the administrator stops syncing for that account. The software removes every appointment event it created from that person's Google calendar and stops pushing new ones — customer (patient) data does not stay behind on anyone's private calendar.
