Zalo Integration

In Vietnam almost every clinic customer (patient) uses Zalo — it is where they read messages fastest. CluvixHealth plugs directly into Zalo so the clinic can chat with customers (patients), send automatic appointment reminders and run a "pocket-sized clinic" inside the Zalo app, all on the same customer (patient) data you already work with every day.

Three ways the clinic appears on Zalo

ChannelWhat it is for
Zalo OA (official account)Customers (Patients) message the clinic's Zalo page and staff reply from the unified inbox
ZNS (notification messages)The clinic sends messages by phone number: booking confirmations, appointment reminders, care campaigns
Zalo Mini AppThe clinic's own page opening inside Zalo: news, promotions, prize mini games

Once an administrator has connected the clinic's Zalo OA account, all three routes run from that single connection — you never re-enter the details anywhere else.

When ZNS messages go out automatically

ZNS (Zalo Notification Service) is a notification message delivered to a customer by phone number. The software uses ZNS at the moments that matter most in a visit:

  • Booking confirmed — sent the moment reception saves the appointment, so the customer knows the slot is theirs.
  • Reminder the day before — the software scans the next day's schedule and sends the reminder. Appointments booked on the same day are not reminded again, because the customer has just received the confirmation.
  • Psychological questionnaire results — customers (patients) who complete a survey receive the results on Zalo.
  • Care campaigns — messages sent in bulk to a group of customers (patients) you choose.

Each message type uses its own template, written once and reused; only an active template is ever sent, so you control exactly what customers (patients) receive. A reminder template can also be limited to certain appointment types — reminding minor-surgery cases, for example, while leaving routine consultations alone.

Far fewer customers (patients) forget their visit

A reminder sent a day ahead is the cheapest way to keep the schedule full: customers (patients) who are busy ask to move the time early, and reception can fit someone else into the gap instead of leaving a doctor idle.

Bulk message campaigns

When you want to announce a promotion or invite former customers (patients) back for a check-up, you create a campaign: pick a group from the customer list, or paste in a list of phone numbers.

The campaign runs in the background and reports progress for every recipient, so you always know where your messaging budget is going:

Recipient statusWhat it means
Waiting / SendingOn the list, being sent in turn
DeliveredZalo accepted the message and passed it to the customer
FailedThe message could not be delivered to this number
SkippedThe phone number is not in a valid format, so nothing is charged

At campaign level you see the total number of recipients, how many have been sent, how many succeeded and how many failed. A campaign can be paused midway and resumed later, and each customer (patient) receives exactly one message per campaign.

Zalo customers matched to the right record (Patient)

When a customer opens the clinic's Zalo Mini App and agrees to share their phone number, the software looks that number up in the customer list and links the Zalo account to the right record. A number stored as 0901234567 or as 84901234567 is recognised as the same person.

If the number has never visited the clinic, the software creates a new customer record and marks Zalo as the source — leads coming from Zalo are never lost, and consultants have an immediate contact to follow up.

Zalo Mini App: the clinic in the customer (patient)'s pocket

The Mini App is the clinic's own page running inside Zalo, with nothing extra for customers (patients) to install. There the clinic publishes news, promotions, gallery images and videos, and runs mini games — lucky wheel, scratch card, shake-to-win.

Every game defines its prize list, win rates and remaining stock in advance, so costs stay under control. Winners are recorded with a status of Won → Collected → Used, and because the player is already matched to a customer record, the prize is attached directly to that customer (patient)'s care history.
