Workflow overview

A Workflow guide walks through one complete job that spans two or more menus in different modules, in the order the steps have to happen. Each workflow answers the question: to get this result, what do I need to do, where, and in what order?

How it differs from the other modules

Modules such as CRM and Configuration explain one menu at a time: what the screen contains, which boxes to fill in, which buttons to press. Each page teaches you one task.

Real clinic work rarely stays inside a single menu, though. Before you can create an order, the service must already be set up in Configuration; before you can take a payment, the order must exist in CRM. Workflow joins those individual pages into one path, so you can see which step depends on which.

Two kinds of workflow

Workflow typeWhen to use it
Setup workflowsYour clinic is starting out with the software, or adding a new service or branch. The workflow lists what to set up in Configuration and other modules, in the order each item is needed, so the software is ready for daily operations.
Operating workflowsEveryday work. The workflow runs from what you configured to the final result: the customer arrives, you create an order, record the treatment, take payment — and shows where each step's figures end up.

How to read a workflow

Each step names the module → menu, what to do there, and links to that menu's detailed guide. Example workflow, from the service catalog to taking payment:

StepWhere · what for
1. Service groupConfiguration › Service / product group — create groups first, because every service must belong to one.
2. ServiceConfiguration › Service / product — set the price, commission, and turn on Allow installment if customers (patients) can pay for it in installments.
3. Treatment categoryConfiguration › Treatment category — Điều trị (Treatment), Tái khám (Follow-up) and Bảo hành (Warranty) come built in; add your own if your clinic needs them.
4. Customer (Patient)CRM › Create a New Customer — add the customer's profile.
5. OrderCRM › Create an Order — pick the services set up in step 2. A service with installments allowed adds the Installment configuration section to the order.
6. TreatmentCRM › Record a Treatment — record the treatment session and pick the category from step 3.
7. PaymentCRM › Create a Payment — collect payment for the order from step 5.

The first three steps are done once during setup; the last four repeat for every customer (patient). Skip step 2 and step 5 has no service to choose — which is why the order matters.

Where to start
  • Clinic just getting started: read the setup workflows first and work through them step by step.
  • Already operating, but something doesn't turn out as expected (e.g. a service is missing when creating an order): find the workflow containing that task and trace back through the earlier steps to check everything was set up.
  • Just need to know how to fill in one screen: follow the link on that step to its detailed page.
